Deposit on acceptance. Invoice the day you finish.
The deposit request goes out the moment a client accepts. The final invoice goes out the day you text “done”, with the deposit taken off and any signed extras added on.
When a client accepts a quote, we send a deposit invoice from your Xero. When you text us that the job is done, we send the final invoice the same day, less the deposit and plus any signed variations. Clients pay you directly through your Xero payment options. Tradie Quo never touches the money.
Step by step
How it works, step by step
- 01
Quote accepted
Xero tells us the moment a client accepts.
- 02
Deposit invoice drafted
Set to your deposit terms and checked against the NSW 10% cap for residential building work.
- 03
Checked and sent
A person checks it and it goes out with a pay link.
- 04
You text “done”
One message when the job is finished. Photos are a bonus.
- 05
Final invoice the same day
Deposit taken off, signed variations added on, sent in your name.
- 06
Payment lands with you
Straight into your account. Xero marks it paid and chasing never starts.

Tradie QuoWe handle the rest

- Turn off Xero’s own reminders so nobody is chased twice
- Hand over to payment chasing if it goes overdue

The details that matter
We never hold your money
Every payment goes from your client to your bank through your own Xero. We can’t touch it, and we don’t want to.
NSW deposit rules
For residential building work in NSW the deposit is capped at 10% of the contract price. On jobs that need home building compensation cover, no deposit can be asked for until the certificate is issued.
Progress payments
For bigger jobs we invoice to the progress schedule in your contract, matched to the work actually done.
Do you ever handle my money?

What payment methods can my clients use?
Whatever you have set up in Xero, such as card payments through a connected provider or bank transfer with your details on the invoice.
Can you do progress payments?
Yes. We invoice to the schedule in your contract, at each stage you tell us is complete.
How much deposit can I take in NSW?
For residential building work, the maximum is 10% of the contract price. See our guide to deposits and variations in NSW.
